Hotel room booking

Step 1:  Submit Inquiry

  • Submit enquiry through the website. The inquiry page is reached by clicking “Book Now” on the home page.
  • Please enter your preferred dates, room type, number of travelers, and requirements (e.g. smoking/non smoking) in the inquiry form.
  • To book multiple hotels, you will need to submit separate inquiries.
  • After submission, you will receive an inquiry confirmation message both on the website and via automated e-mail confirming the receipt of your inquiry.
  • If you do not receive an e-mail confirmation, or if you do not hear from us within 1 business day, please e-mail us at collection@wildchina.com. At the same time, we recommend you check your spam folder to ensure our e-mails are not blocked.

Step 2:  Secure Rooms

  • Within 1 business day, The WildChina Collection Team will process the inquiry and confirm availability or otherwise. An availability confirmation e-mail will be sent to you informing you of the results. If your room type is not available on the selected dates, we will suggest alternative choices where possible. We encourage you to book early, as rooms are limited in our boutique hotels.
  • To secure your room, please click on the payment link provided and make a full payment within 72 hours of receiving the availability confirmation e-mail.  Otherwise, the booking will be automatically cancelled.
  • The amount due will be expressed in USD, based on room rates in CNY and the current exchange rate.
  • By providing your credit card information, we will assume that you agree to all prevailing terms and conditions, including our Cancellation & Modification Policy.

Step 3: Reservation Confirmation

  • Upon receipt of full payment, WildChina will confirm your reservation (usually within 24 to 48 hours, depending on the number of hotels booked).
  • Once the reservation is confirmed, WildChina will send you a reservation confirmation e-mail containing your confirmation number, stay information, and hotel fact sheet.
  • One week prior to arrival, WildChina will send you a reminder of your reservation.

Cancellation & Modification Policy

To modify or cancel your reservation, please e-mail us with specific instructions at collection@wildchina.com. In the event of a late cancellation or no-show, WildChina send you a cancellation notice e-mail with a summary of applicable penalties. All refunds will be made via wire transfer or domestic check. To receive refund, please submit the necessary information to collection@wildchina.com. Penalties for both modifications and cancellations are listed below and will be deducted from the full payment provided at booking.

  • If reservation is modified or cancelled 31 days or more prior to check-in date, cost of one room night will be forfeited.
  • If reservation is modified or cancelled 21 - 30 days prior to check-in date, 25% of total payment will be forfeited, with minimum fee of one room night.
  • If reservation is modified or cancelled 14 - 20 days prior to check-in date, 50% of total payment will be forfeited, with minimum fee of one room night.
  • If reservation is modified or cancelled less than 14 days prior to check-in date, no refund will be issued.
  • In the event of no-show on the day of arrival, no refund will be issued, and the reservation will be cancelled.

Circuit travel booking

  • Please enter the travel circuit and the departure date in the inquiry form.
  • After submission, you will receive an inquiry confirmation message both on the website and via automated e-mail confirming receipt of your inquiry.
  • If you do not receive an e-mail confirmation or you do not hear from us within 1 business day, please e-mail to collection@wildchina.com. At the same time, we recommend you check your spam folder to ensure our e-mails are not blocked.

Step 2: Secure Reservations

  • Within 2 business days, The WildChina Collection will process the inquiry and confirm availability or otherwise.  An e-mail will be sent to you informing you of the results. If your preferred dates are not available, we will suggest alternative dates or programs where possible.
  • If your trip is available, we will send you an e-mail with a request for 3 items:

1) Deposit of USD 400 per traveler.
A deposit of USD 400 per person is required to secure a reservation. Deposits are non-refundable, unless a trip is cancelled by WildChina, and will be deducted from the total trip fees. Tour prices quoted on website are per person based on different occupancy ranges and time of travel. Full payment is required 30 days prior to trip departure, and the due amount will be expressed in USD and based on the current exchange rate. Payment can be made by clicking on the payment links provided in the e-mail. VISA or MasterCard credit cards and wire transfers are accepted. All submitted information is secure and protected by our Privacy Policy

2) Booking Conditions & Release of Liability.
Each adult traveler (18 & older) must sign and accept the attached trip agreement that explains the traveler's and WildChina's rights and responsibilities.

3) Basic Information.
Please provide a copy of all travelers' passports & visa pages. This ensures that we can help you book and hold your tickets. Please e-mail scanned copies of these items to collection@wildchina.com or fax the copies to our Beijing office at +86 10.6465.1793. 

Step 3: Reservation Confirmation

  • WildChina will secure your booking upon receiving your deposit payment.
  • Once the reservation is confirmed (usually in 1 or 2 business days, depending on the number of hotels you book), WildChina will send you a reservation confirmation e-mail containing a request for: 

1) Flight Information.
We will need your flight number and arrival time to ensure proper pick-up arrangements are made. Please e-mail this information directly to collection@wildchina.com.

2) Balance of Invoice.
Full payment is required 30 days prior to trip departure. For your convenience, a you can view and pay your balance directly by clicking on the payment link provided. VISA and MasterCard credit cards and wire transfers are accepted. All submitted information is secure and protected by our Privacy Policy

  • For your convenience, another balance of invoice will be sent to you one week before the payment due date. 
  • Ten days prior to trip departure, WildChina will send you a reminder of the reservation and a Pre-Departure Document containing daily itineraries, contact details, and final reminders.

Cancellation & Modification Policy

  • If reservation is modified or cancelled 21 - 30 days prior to trip departure, 25% of total tour price will be forfeited.
  • If reservation is modified or cancelled 14 - 20 days prior to trip departure, 50% of total tour price will be forfeited.
  • If reservation is modified or cancelled less than 14 days prior to trip departure, no refund.
  • In the event of no-show on the day of arrival, no refund will be issued, and the reservation will be cancelled.

Our travel consultants will get back to you by e-mail with clarification questions within 2 business days. For complex programs, we would prefer to organize a phone call so that we can better understand your requirements.  Once we have a thorough understanding of your vision, we or our hotel partners will develop a customized proposal for your consideration. The proposal will include the itinerary and experience, detailed work scope, booking process, terms and conditions, and payment schedule.
